Proxara saves no audio.
Proxara hears an officer’s calls and keeps the ones they choose. It reaches your Encompass and Microsoft 365 only once your administrator grants access, and it trains no model on what it hears.
Privacy is the first requirement.
A first call holds everything about a borrower, so the officer decides which calls stay, and Proxara keeps none of the sound.
No audio saved.
Each person’s speech is turned into words as it’s said, on the phone company’s own servers. Proxara never asks for a recording, and the sound never reaches it.
Kept only if the officer says so.
After each call the officer chooses. A no erases its words at once, and with no answer they’re erased 30 minutes after the call ends.
Never used to train.
Borrower data does the officer’s work and nothing else. It is encrypted at rest and in transit, and Proxara trains no model on it.

Where it runs.
The app runs in Proxara’s own AWS, in a US region, so an officer can start with nothing installed. When you connect your systems, it runs as an install in Proxara’s Azure or your own, from one command your administrator runs. It checks before it builds anything.
- 01It checks first.
Your officers’ group, each officer’s numbers, time zone and state, and the speech region, before anything is made. A bad row stops it, named.
- 02It sets up the line.
The phone line the officers’ calls pass through, each officer’s number on it, and the speech service that turns each side into words.
- 03It asks for only what it uses.
Mail, calendar and contacts for the officers’ group alone, through Exchange’s own scoped permissions, and Proxara’s Teams app for your administrator to install.
- 04It keeps the keys in a vault.
The phone line’s key, the Teams bot’s secret and the CRM’s are held in Key Vault, never in the app’s settings.
The model reads. Code decides.
One model, in Microsoft’s US data zone, reads each call the officer keeps into what was said. Code checks every figure against the words and decides what may be written where.
- Every figure checked.
- Each fact the model returns must cite words that were said, at the moment it names. Code checks that before anything is kept or written.
- Only loan fields in Encompass.
- Once Encompass is connected, the writer takes only the fields on its list. Personal details go to the notes alone.
- Social Security numbers, 14 days.
- Whole in one sealed place for 14 days, behind Face ID, then erased. Everywhere else keeps the last four digits, and a number never goes by email.
Who it hears.
The calls on the officer’s own number, until they say otherwise. The people they choose are never heard.
- Asked after every call.
- The officer keeps a call or doesn’t, and can choose to keep every call. A no erases its words at once.
- People never heard.
- Calls with the people an officer chooses connect with nothing turned into words and no question.
- Asked not to be recorded.
- When someone on the call asks, Proxara stops hearing both sides. If the call is kept, only that they asked and when stays.
- Telling people is the officer’s.
- In their own greeting, under their own terms. Proxara plays nothing on a call.

What it connects to, and what it reaches.
The app touches none of your systems. Each one it reaches later runs on access your administrator grants, and everything it writes lands where your officers already work.
Your systems
Encompass®
EncompassA user of your instance that your Encompass administrator creates. It writes the application into the loan’s own fields, and orders credit, DU and the Loan Estimate through Encompass on your company’s accounts. It never holds your credit vendor’s password.
- Total Expert
Through Total Expert’s own partner access, switched on by your company: the lead, who sent it, the notes and the tasks.
Microsoft 365Mail, calendar and contacts for the officers’ group alone, and Proxara’s app in Teams, each approved by your administrator.
- Your borrower app
A key your administrator issues, for the document requests and the borrower’s consents.
DU and LPOrdered through Encompass on the credentials you already hold, only after the officer’s yes.
What a call passes through
- The phone line
- The officer’s forwarded number, carried by Telnyx, which also turns each person’s speech into words on its own servers. No audio reaches Proxara.
- The reading model
- In Microsoft’s US data zone, reading the words of each kept call into what was said. Nothing it reads is used to train it.
- Each kept call’s details, on their way to the officer through Microsoft’s email service. Never a Social Security number or date of birth.
- Monday
- The officer’s own board, if they connect it. Proxara reads it before every write, and each change can be undone.
Nothing else hears a call, and Proxara never asks for a recording.
Questions security teams ask.
- Can a forwarded email open a Social Security number?
- No. The email never holds one. Its link opens nothing by itself: the officer asks for a code, it goes to their own sign-in address, and the number shows for two minutes.
- Is anything sent without the officer?
- The app sends nothing to a borrower or an agent. Once your systems are connected, credit, DU and the disclosures never run without the officer’s yes, recorded with who, when and what they were shown, and each email or text waits for their yes too, until they let that kind go on its own.
- Is every write recorded?
- Yes. Every change on the officer’s Monday board is recorded with what was there before, and so is every write to Encompass, the CRM or Outlook once they’re connected.
- What if Proxara goes down?
- A forwarded call reaches the officer through Telnyx and Proxara, with no second route, so it may not get through. Their phone company’s off code puts calls back on their phone at once.
- What if a file or a webhook arrives twice?
- Every input carries its own identity, so a second copy changes nothing, and anything that arrives late or out of order is placed where it belongs.
- Do you have SOC 2?
- Not yet. The engineers who built it will take your security team’s questions about any control on a call.
